CRMs stand for Customer Relationship Management system. In short, this helps business owners manage their clients. This system helps manage, retain, and acquire new customers. All while helping you stay organized, professional, and even automate areas of your business. I just want to shout it from the rooftops – My CRM ran $3000 worth of payments on my sleep this morning! Is yours doing the same?!?!

There are many CRMs out there and I know that you are probably feeling a little overwhelmed at the thought of learning a new system, learning new technology, or signing up for yet another thing. However, if you did one thing to improve your business today, this would be the best thing you could do. CRMs provide one single system to streamline your processes in just one platform. It will help you cover every aspect of your business.

Which CRM should I use?

Over the years I have used many CRM platforms. I’ve done the trial and error for you. I have found that no matter which CRM I try as a photographer I will always be drawn to Honeybook and here’s why:

  1. Honeybook offers brand distinction. You can keep your photography brand cohesive, which is huge in setting you apart these days.
  2. Their invoicing is fantastic – Very simple, straightforward, offers payment schedule options, discounts, AND automatic payments. All of Honeybook’s payments are ran through their payment processor so you don’t need a separate one such as square, stripe, or PayPal. (Their processing fees are similar to others.)
  3. The Honeybook App is perfect for the on-the-go.
  4. You can interact with multiple vendors in one system – good for collaborating and referrals.
  5. There’s a “table of contents” on long forms such as brochures which is helpful for clients to see what they’re going to get.
  6. The brand new Honeybook Chrome Extension.
  7. Their proposal set-up allows me to send one single e-mail to book a client. This includes invoice, payment schedule, AND contract.
  8. Templates – I can save all of my templates in one place. I can also update these templates while working in a client’s portal and still save the changes as a template.
  9. Honeybook has the best and most customizable workflow user interface.
  10. I can connect Calendly to Honeybook if I need to have a schedule available for clients to choose dates and times from.

Differences between CRM Softwares

I have created a CRM Software comparison chart below. These are aspects that are important to me in my photography business.

Ultimately, I have been happiest with Honeybook. I used 17 Hats back in 2014 -2015. Then, I switched to Honeybook from 2015 to 2017, and the only reason I left Honeybook for Dubsado was because I wanted a 2nd brand. At the time it was cheaper to have 2 brands with Dubsado rather than HB. I used Dubsado from 2017 – 2020. The scheduling software, invoices issues, and with how slow Dubsado became I couldn’t use it anymore. I switched back to Honey in 2021 and found that I could have 2 brands at no extra cost! Now, I will never go back! I also prefer Honeybook’s proposals over Dubsado. I found myself having to send extra separate e-mails to complete bookings which left me feeling super frustrated as I did not want the extra work in an already very busy business.

Why You Need A CRM To Scale Your Photography Business!

  1. Organization – A CRM will keep you organized. Each client will have their own client portal, and keep their documents separate from others and organized. It will also keep track of all of your e-mail communication with your client.
  2. Automation – This is the best part of a CRM! You can automate client’s payments with approval at contract signing. You can also automate e-mails to be sent to your clients to help them prepare for their sessions and always be one step ahead of any questions that may arise!
  3. Save you time & Money – With an automated and streamlined CRM you won’t need a virtual assistant. You won’t need to check their work, or pay for their services. Your CRM will do the heavy lifting for you and you can make simple clicks and changes as needed. Also, you won’t have to invest in multiple programs. Your CRM will be an all-in-one system!

In conclusion, don’t shy away from CRMs. This will transform your business from the inside out. Also, don’t be afraid to use the free trials available to find the one that works best for your business.
